Administrative Assistant

This is a full-time (40 hours per week, Monday-Friday), temporary position based in San Rafael, California.  This position provides functional administrative support to Associate Directors, Directors and Senior Directors in BioMarin's Clinical Operations group (6 people in total).

 

The successful candidate will have excellent customer service, and be outcome-oriented. The ability to work in a fast paced environment with strong attention to detail is essential. 

 

Responsibilities:

  • Provide general administrative support.
  • Proactively schedule and coordinate meetings/conference calls and related activities including A/V and telecom set up, catering, meeting materials preparation and distribution, taking meeting minutes as requested, etc.
  • Assist with business travel planning and coordination.
  • Prepare expense reports for submission to company application.
  • Order and maintain department office supplies.
  • Manage Clinical Operations Org Chart
  • Manage Clinical Operations Study Team Assignments
  • Manage the Clinical Operations web page in SharePoint
  • Develop, manage, and maintain Clinical Operations FTE and Contractor Outlook email distribution lists
  • Provide back-up support to other administrative professionals in the Development Sciences Operations group
  • Provide back-up atministrative support for the Vice President, Clinical Operations, if needed
  • Assign hotel office space for visiting BMRN Clinical Operations staff
  • Office/cube setup/takedown for new and departing staff
  • Coordinate and manage conferences and offsite meetings
  • Train and mentor administrative team members
  • Design mini protocols, prepare purchase requisitions and subsequent invoice approvals
  • Research and gather information for process and project work; and
  • Other duties and/or projects as assigned

 

Requirements:

  • Must have expertise in Outlook
  • Proficiency with standard office software applications (Excel, Word, PowerPoint) desired.
  • Familiarity with LiveLink, SharePoint (Office 365), Oracle/iProcurement, and Concur desired.
  • Responsiveness to deadlines, detail-oriented, and able to prioritize multiple tasks.
  • Excellent communication and interpersonal skills.
  • Ability to work both independently and in a team effort.
  • Must be available to work on-site in San Rafael, CA.

 

  • Minimum 5 years of related experience in an Administrative Assistant role supporting a large team of people.
  • Previous experience supporting clinical development within the Biotech or Pharmaceutical Industry is a plus.

Bachelor’s degree preferred.
